ABOUT THE ROLE

We’re looking for someone resourceful, organised and hands-on to join us as our Office Manager in Gibraltar.

This is not your typical office manager role. It’s about noticing what needs to be done, taking ownership and making things happen.

You’ll be responsible for making sure our Gibraltar office, company flats, and local operational support run smoothly for employees and visitors.

The work can be dynamic and occasionally ambiguous, so we’re looking for someone who enjoys bringing order to moving pieces and solving practical problems independently.

The role requires about a 60% commitment, with working hours from 9:00 to 14:00, Monday through Friday. Later on, it is possible to take on more responsibilities and transition to a full-time role.

WHAT YOU’LL DO

• Own the day-to-day running of our Gibraltar office and make sure employees and visitors have what they need.
• Manage facility, maintenance, suppliers, building management, office access, and everyday workplace needs.
• Coordinate our three company flats, including guest preparation, cleaning, access, and maintenance.
• Support local administrative needs for Finance, Legal, and other teams, including documents, couriers, and local providers.
• Keep relevant office spend, invoices, records, and reporting organised.
• Prepare the office and accommodation for visitors and leadership visits.
• Support occasional local team activities and workplace experience.
• Spot practical improvements and help make the office and its processes work better.

• You are practical and comfortable being hands-on when needed.
• You communicate clearly with colleagues, suppliers and external partners.
• You are comfortable working with budgets, invoices and vendors.
• You stay calm when plans change or unexpected issues appear.
• You are comfortable working independently in an environment that is not always perfectly defined.
• Fluent English is required; Spanish is a plus.
